Academic Records - Space modeling and room utilization.

 

1. Provide one sentence (or paragraph) that covers your area of responsibility.
Room data used for space modeling and room utilization. This is linked directly to autocad floor plans in both directions - a database change will change the floor plan, and vice-versa..

2. What data systems do you rely on to meet those obligations?
HR, SIS, AdAstra, Archibus, Autocad.

HR provides data on employees, job types including job class and description.
SIS provides course data.

However, although the data originates from these systems, it then needs to be reformatted and "cleaned" before it can be used for space modeling.

Example 1 - How are lab courses identified? In some cases with an L#, other times they take place in a room known to be a lab.
Example 2 - Job class code, description, and a third field in HR may not all contain comparable information - which to use?

3. Are some of these external to the "core" systems
TMA is used to track projects

Excel models use data pulled from core systems, and then modified for consistency.

4. What data are entered and managed by other departments?
Registrar -- All course data. Also use SIS stat files massaged with some added fields for contact hours.

HR - All information comes from HR. Considering capturing a point in time version of that for consistency.

Example of data inconsistency issue -- Regarding work done to support indirect cost reimbursement, department codes do not match
across HR and financial. This requires extra effort each time it is needed.

5. What data does your unit enter and manage that is unique?
Room data is unique. Today when a change is made, e-mail the registrar and they update SIS and subsequently AdAstra.

Quantitative data is used as a tool for space modeling and room utilization.
