Data Management Issues:
Issues are tracked through the DGCouncil web site.

During September, 3 issues were resolved, 2 are actively being implemented, 3 are being researched with an action plan, 11 are in the status of pending, which means that a team has been determined to work on them, but work has not yet begun.

Data Governance Council

The Data Governance Council did not meet as a group in September, 07. Instead, Lynne met individually with data stewards. See schedule of those meetings at the end of this report.
The agenda for these meetings included the following:

1a. Establishing the group of "experts" that will work with you to resolve data questions in your area.....

Since the Executive Sponsors left the appointment of sub-groups somewhat undefined, it is open to flexibility within each unit. The internal group of people who work with data stewards is referred to as "experts" in many places. Susan Hobbes described this group as the “core people”, which seems to be a good description. .

Elora provided the attached PDF that shows Human Resources’ internal responsibilities, and how they are organized.

In Facilities, Frank and Rick together fill this role.
For the student area, Karen will rely on the Batch Calendar meeting to discuss data management issues, and to delegate those where there is more specific knowledge with other staff. For example, Raelyn Lee is now working on a data management issues regarding rooms. Karen will invite outside experts when needed.
Both Student Accounts and Financial aid work within their own units, and use internal staff as needed. They also meet regularly to work on issues. David works SCS for help with SIS, and often consults counterparts in Reno or CSN. He employs an SIS student accounts mail list of affected users.
In Finance, Gwen is organizing the “experts”.

1b. Questions remain regarding others that are important to accomplish data governance. Are you considering how users have an opportunity to be part of the process? Should you establish user groups to provide feedback to you about data. If you already have user groups, should they have a designated agenda item to cover data issues when they meet?

HR considers the HRMS user group to meet these needs, and Elora offered to provide reports of these meetings to the DGCouncil.
Exactly how user’s group are to be a part of the data governance program was still not clear. This will be discussed at the upcoming DGCouncil meeting.
In two areas, work is underway to create data warehouse products that will provide greater reporting capability. Elora is working with IT (Sys Apps) on a Cognos project. David is working with SCS to provide reporting capability for the student accounts tables. Each agree to provide updates to the DGCouncil as they move closer to completion.

2. Anticipating data needs of our senior administrators. We discussed the possibility of hosting senior administrators who want to explain to us what they anticipate their data needs to be.

3. Creation of a data dictionary for UNLV --
A data dictionary is specified in UNLV data policy DA 04 Data Integrity and Integration. This policy mandates developing a data dictionary, and declares that the data stewards will be responsible for the content. Lynne will attend a workshop with Paul Landrum, NSHE and Ray Buehne, IT, that explores the current state of data dictionary specifications. A committee from UNLV (Lynne, Ray Buehne, Monty Young, David Ellison, and Josh Brauer) will be working to gather requirements over the next few months. We will be developing a proposal to submit to the Data Governance Executive Sponsors before the end of the year.

4. The next level in establishing responsibility for data elements….. David provided the list of SIS tables for which student accounts is responsible. Gwenn also created a model for the internal “experts” to use to identify the elements for which each will be responsible.

5. How to include data management in all application training --Goal --Teach data management principles at every opportunity. A statement that reminds trainers to include data management in every opportunity has been forwarded for your approval and support.
