Data Governance Council Meeting Minutes July 11, 2007

I. OIT Security Policy, Johnie Sullivan
Johnie Sullivan was introduced and he began discussion by passing out UNLV IT Policies handouts and stating that all OIT Policies are on OIT web site. http://www.unlv.edu/infotech/infosec/ipolicy.html
As Data Stewards you are OIT’s front line – here to help look and identify data in your control. Look at what has to be protected.
Lynne stated that one of the things asked the most in individual meetings is if it would be possible to have a checklist of proactive guidance for everyone.
John answered that the handbook series and asset policy can be used as a checklist.
John suggests a retention and destruction policy of datasets be written.
II. Demonstration – UNLV DGCouncil Data Management Issue Submission
Lynne went to the DGCouncil web site, unlvdata.nevada.edu/dgcouncil, and reviewed the tasks and responsibilities assigned to each Data Steward and explained how the Data Management Issue Submission form will work.
Everyone has been assigned a log in and password. If you did not attend today’s meeting that information will be e-mailed to you. Go to, http://unlvdata.nevada.edu/DGCouncil/collaborationmap.html, and then to Submits and you will see a log in screen. Log in with your user name and password then the submission form will be available.
III. Discussion of Data Management Issue Resolution process
Lynne explained that if the “owning data steward” is known, the person submitting the form can insert that name. If the submitter is unsure of who the owning data steward is, they should leave it blank. Hopefully, people will recognize the issues that belong to them and step up to address them. If no one volunteers after one month the issue will be brought to the DGCouncil’s attention and be assigned by the council.
Once the owner is assigned the owner will assign priority.
Status of Pending indicates data management issue has been assigned an owning data steward. Status of Research and Planning indicates that an action plan and a schedule of work are being developed.
Lynne asked if everyone approved the submission form and everyone did.
Elora Paik mentioned that there were 11 things on a previous list from Lynne that all appeared to be HR related. Lynne stated that these issues need to be submitted through the DGCouncil submission form.
IV. Status of work to establish data administrators in your area.
Still have August target.
Lynne reminded everyone to continuing working on establishing data administrators in your area.
Johnie Sullivan suggested that the Regents are looking for a detailed account of what resources are needed so he suggested everyone take notes with FTE accounting in mind.
V. Approval of July status report to Data Governance Executive Sponsors.
